How to choose
- Does your company run on Microsoft 365 (Outlook, Teams)?
- Microsoft 365 Copilot. It works on your e-mail and files without copying anything.
- Does your company run on Google (Gmail, Drive)?
- Gemini is already in Business Standard. Check you're not paying for Starter, where it's heavily limited.
- Need an assistant for writing, analysis and documents regardless of e-mail?
- ChatGPT Business or Claude Team. Same price, so test both on your own tasks.
- Want a provider based in the European Union?
- Mistral Vibe, a French company. The other providers listed are based in the USA.
GDPR and the AI Act in brief
- Customer data only in a business plan. Free and personal accounts come without a data processing agreement, and conversations may be used for training.
- Accept the data processing agreement (DPA) in the admin console and add the provider to your record of processing activities.
- AI Act: since 2 February 2025 a company using AI must ensure its staff have sufficient AI literacy (Article 4). A short training session and written usage rules are enough.
